Planning a business party is not for the faint-of-heart. The pressure can be overwhelming and, with everyone’s eyes on you, you have no room for error.

The two biggest challenges for company events are a limited budget and poor planning. Fortunately, you can overcome a tight budget – and most other problems you encounter – with the following 3 steps:

Step 1: Start Planning Your Business Party Well in Advance

Professional corporate event planners like to start planning at least a year in advance. You probably won’t have that long to plan (unless it’s a major event) but, however long you have, don’t waste a second of it.

The earlier you start your business party planning, the less expensive almost everything will be. You will also have first dibs on the best caterers, DJs and event venues. Delay too long, and everyone will be booked.

If you don’t want to hold your company awards banquet in the office parking lot, or have your Uncle Louie as your MC, start planning early.

Step 2: Locate an Affordable Business Party Venue

The first commitment you should make is for the event’s location.

Once you find the right event venue for your company party, everything else will fall into place. If you find the right venue rental, they may be able to facilitate almost everything else for you.

Look for an affordable event venue that has a sound system, AV equipment, tables, chairs and linens. This will save you both time and money, as compared to sourcing each of these items on your own. If you get lucky, you may find a venue that will also handle the food for your business party.

If you can, find a corporate event venue that offers the services of an event coordinator – then make that person your new best friend. You won’t find a better resource and advocate for your party.

Step 3: Create and Follow a Business Party Agenda

Nothing feels more awkward for attendees than a corporate event with no apparent plan or sense of order.

Lay out your agenda for the evening, complete with a timeline that specifies when each part of the event will take place. Include every detail because, when you’re deep in the fray, your timeline will ensure you stay on track. Share your agenda with each person who will play a role in the evening, including speakers, award presenters, master of ceremonies and the DJ or entertainers.

Don’t forget to go through the timeline with your event coordinator. This way, you can make doubly sure that everything is ready to go. Then, on the big day of your business party, you can relax – maybe just a little – and enjoy the fruits of your labor.
